When you run a small team, a lot of the week goes to the admin around the work. Updating a status, copying client details, checking the sales take-up, monitoring marketing analytics, chasing a timesheet and building an invoice are all small jobs, and together they add up. On top of that, each of these jobs usually lives in its own tool.
That is why Ai11 Consulting developed ONE, a tool that brings all of these tasks together in one place.
It Started in Our Own Team
Yue Sun, the founder of Ai11 Consulting and an IT expert for more than 20 years, saw the problem in our own work first. Since 2021, Ai11 has helped companies in Austria and the DACH region connect their systems, unify their data and put AI to work, as a certified Salesforce and MuleSoft partner. Connecting tools is what we do for clients every day, so we know how much effort it takes to make systems work together. Even so, our own team ran into the same problem. Between client projects, planning, timesheets and invoices, the everyday admin kept adding up. A deal closed in one place, the project was planned in another, and hours were logged somewhere else. At the end of the month, someone then put an invoice together from all of it. Every step was small and reasonable, but each one depended on someone remembering to carry information from one tool to the next.
At some point we caught ourselves saying that we wished one tool simply knew about the other.
We Saw the Same Wish With Our Clients
Our work with clients showed us that other teams face the same problem, especially teams of 10 to 100 people. When we connect systems for a company, the same questions keep coming up in different forms. Sales wants to see what delivery is working on. Delivery wants to know exactly what was promised to clients. Finance wants to know what can be invoiced this month. Every team has a good tool, yet the information each one needs sits in someone else's.
In practice, this gap is usually closed manually. An owner, team lead or operations manager transfers client details from one system to the next and coordinates with colleagues to confirm who is available in the coming week. This keeps the business running, yet it consumes valuable time, and errors often surface only later, for instance when an invoice is issued with incorrect hours.
The research points the same way. MuleSoft's 2025 Connectivity Benchmark Report found that organizations use an average of 897 applications, and only 29% of them are integrated. Asana's 2023 Anatomy of Work Index found that knowledge workers spend 58% of their day on "work about work", such as chasing status updates and switching between tools. These studies look at larger organizations, but we recognize the pattern in teams of 10 to 100 people.
We Looked for It Before We Built It
Naturally, we tried the usual options first. Connecting separate tools through integrations does move data, but each connection must be set up and repaired whenever one of the tools changes. Large business suites, on the other hand, cover everything, but they come with a lot of setup and are designed for companies much bigger than a team of 30.
What we wanted was simpler than both. When you win a deal, everything that comes after it should already know about it.
The Tool We Wished For, and What ONE Does
That wish shaped ONE. A deal you win carries on by itself. The client details, the scope and the price already exist when you close it, so ONE turns the deal into a project, ready to plan on boards and sprints. Nothing must be entered a second time.
Hours stay with the work they belong to. Time is logged directly on the task, and invoices are generated from those hours and the agreed price. Because planned and actual effort sit side by side, estimates become more accurate after a few sprints, and fewer billable hours go missing.
Reporting also happens without extra effort. Every project shows its budget, hours and deadline, and reports draw directly from the timesheets. You see hours by project and billable time while there is still room to act, and reports can be exported for anyone outside the team who needs them.
Beyond sales and delivery, the rest of the business lives in the same place. Leads, deals and quotes run through one pipeline and stay linked to the clients they belong to. Leave requests, approvals and the team calendar sit alongside the work, so availability is clear before a date is promised. Hiring, service cases and newsletters follow the same logic, and newsletters go to the same contacts your sales team works with. As a result, a growing team does not need a new tool for every new area.
Finally, routine tasks take care of themselves. AI agents handle jobs such as drafting a follow-up or preparing the next sprint. They are available from any board, deal or report, and you review every result before it goes out.
A Tool We Could Trust With Our Data
A tool that holds this much of your business raises a fair question for tech teams: what happens to the data? It was one of our own questions, so we built ONE with it in mind. ONE is made and run in Austria. Your data is stored on servers in the European Union, encrypted in transit and at rest, and each workspace is kept separate from every other one. We work under the GDPR and sign a data processing agreement on request. ONE has no AI model of its own. Each workspace connects its own AI provider, so your data goes only where you choose to send it and is never used for training.
Now We Are Sharing It for Free
ONE is live, and we use it ourselves every day. We continue to build it together with the teams who work in it. Startups and small businesses (SMEs) get full access to ONE for free during its early phase. If your data sits in spreadsheets or other tools, you can bring it along, so nobody starts from zero.
If you would like to see what ONE could take off your team's list, you can request access here or talk to us in person to discuss how we can help you integrate ONE into your systems.
